Guided Outdoors

Guided Outdoors

One operating system for catalog, reservations, and fulfillment. TODO_VERIFY any result that would be quoted as a number.

01

THE PARTNERSHIP BEGINS

The work started from how an outfitter sells a trip, not from a generic reservation form.

Guided Outdoors is a vertical product for outfitting: guests browse trips, operators keep availability honest, and guides are not left reconciling payment in a separate stack. This page describes the problem and the shape of the build. It does not publish performance numbers. TODO_VERIFY problem wording with the client before this case study is promoted.

02

THE PARTNERSHIP EXPANDS

Catalog, inbox, and payment tools had stopped describing the same departure.

What they needed

A catalog that matches how trips are actually sold — species, season, party size, lodging, and add-ons — plus a booking path and a way to collect payment when the guest is standing with a guide. TODO_CONFIRM before this page names Tap to Pay, Apple Pay, or Google Pay as shipped features.

What stood in the way

Outfitters often run the public catalog in one place, hold dates in a spreadsheet or inbox, and collect deposits through a processor that does not know which trip was sold. The gap shows up as double-booked days, guides who cannot see what the guest paid, and an owner who cannot answer a simple question: which departures are full. TODO_VERIFY this problem statement against how Guided Outdoors actually worked before the project.

  • Trip pages and the real availability calendar were not the same system, so staff re-checked dates by hand.
  • Deposits, balances, and on-site payment lived apart from the reservation, which made reconciliation a weekly chore.
  • Guides needed a simple field view. Office staff needed the full booking. Those were easy to split across apps and then lose.
  • A generic booking widget did not model party size, lodging, and guide assignment the way an outfitter sells.
Guided Outdoors — field posture

Field posture

One coherent operating picture when peaks stopped forgiving improvisation.

Operators needed truth that survived scrutiny — not demos staged off production.

We anchored increments on telemetry leadership already trusts during reviews.

Guided Outdoors — governance

Governance

Evidence became sequential instead of reconstructed.

Workflow histories replaced forensic stitching — shrinking diligence drag without weakening assurance.

03

STRUCTURING THE PLATFORM

The platform keeps capacity, the guest record, and money on one reservation.

Scope stayed on catalog, booking, fulfillment, and field payment. Naming specific wallet products is TODO_CONFIRM.

How we intervened

  • — Put the sellable catalog and the capacity rules in one place so a published trip cannot drift from the dates operators honor.
  • — Tied reservation state to payment state so a deposit, a balance, and a refund have a trip attached.
  • — Gave guides a narrow field workflow and kept pricing, comps, and reporting with the operator.
  • — Kept rollout reversible. TODO_CONFIRM which surfaces shipped first and which are still planned.
04

THE PLATFORM REACHES PRODUCTION

Rollout order is TODO_CONFIRM. Nothing on this page claims a measured cutover result.

Pilot cohorts rehearsed both worlds until reads matched expectations; rollback triggers stayed explicit through hypercare.

Guided Outdoors — adoption

Adoption

Teams picked up the loop without permanent engineering babysitting.

Self-serve surfaces and operator-readable evidence meant new cohorts inherited the same narrative.

Guided Outdoors — confidence

Confidence

Leadership stopped debating which artefact was canonical.

One authoritative programme story ran from operators through governance checkpoints.

05

TRANSFORMATION AT SCALE

Impact showed up where budgets, operators, and reviewers actually look.

The useful outcome is operational: catalog, booking, and fulfillment can be explained as one flow. TODO_VERIFY before adding before-and-after metrics. TODO_CONFIRM: no client quote is published until Guided Outdoors approves the wording.

Catalog

Trips, capacity, and booking rules designed as one system

Payments

Reservation-linked deposits and field collection. TODO_CONFIRM public payment-method names.

Handoff

Office and guide views of the same departure

TODO_VERIFY

No performance numbers until the client confirms what can be said

OPERATING REALITY — BEFORE AND AFTER

Qualitative shifts only. Do not read these rows as measured lift.

Catalog and capacity

What a guest can book has to match the days an outfitter can run.

Before

Dates and party limits were confirmed out of band after a guest had already inquired.

After

Availability is part of the catalog, so the page and the operator are looking at the same capacity.

Money and the reservation

A deposit that is not attached to a departure is just another payout to sort.

Before

Payment tools did not know the trip, the balance due, or who was in the party.

After

Reservation and payment share a record. TODO_CONFIRM which in-person methods are approved to name publicly.

Guide versus office

The person in the field and the person on the phone need different depth, not different facts.

Before

Guides asked the office for details that already existed in email.

After

Field staff see the departure they are running. The office keeps pricing and exceptions.

THE CONNECTED ECOSYSTEM

The catalog publishes what operations can honor, and payment stays attached to that departure.

  • A guest can understand a trip and request dates without a second, hidden calendar.
  • An owner can see which departures have a deposit and which still owe a balance.
  • A guide can run the day without reconstructing the booking from texts.
06

THE CONNECTED OPERATING MODEL

Office staff, guides, and the guest-facing catalog inherit the same departure record.

Guided Outdoors — programme imagery

Operator posture

Stakeholders aligned on outcomes before engineering velocity resumed.

Guided Outdoors — programme imagery

Evidence & governance

Operating truth moved into systems reviewers could sample — not reconstructed decks.

Guided Outdoors — programme imagery

Adoption rhythm

Rollout stayed reversible until leadership signed the next expansion wave.

What they received

  • ✓ Trip catalog with capacity rules an operator can explain
  • ✓ Booking records that stay tied to payment state
  • ✓ A field view for the departure a guide is running
  • ✓ Handover notes. TODO_CONFIRM what has actually been delivered versus what is still planned.
07

INTELLIGENCE

Questions leadership asks before committing calendar and capital.

Is Tap to Pay, Apple Pay, or Google Pay part of the public story? +

TODO_CONFIRM. Field payment is in scope for the product conversation. Do not name a wallet or tap-to-pay program on this page until Guided Outdoors and Qwetzal agree it is accurate.

What results can we cite? +

TODO_VERIFY. This draft stays qualitative. Add a number only with a source the client will stand behind.

Who owns the software after launch? +

The operator owns the product that was built for them, with handover notes for the workflows they run. TODO_CONFIRM the support arrangement.
